Working for a high profile organisation, this is a lovely, varied role combining face to face and telephone people contact with secretarial duties.
The purpose of the role is to provide full telephone and reception support to the Location together with secretarial support to the Field Management Team as specified.

RESPONSIBILITIES:
Answering telephone calls and maintaining the reception area to the brand standards
Meeting and greeting visitors
Booking meeting rooms
Daily post duties
Taking deliveries
Faxes
Provide a secretarial service to the Head of Business and/or members of the Field Management Team as specified to include:
- dealing with incoming mail.
- maintaining an effective filing and follow-up/reminder system.
- intercepting calls and dealing with queries as necessary.
- keeping a diary and being aware of his/her movements.
- organisation of meetings/one to one’s etc.
- liaising with members of the team on his/her behalf.
- providing a secretarial service to include audio typing.
- maintaining PA/structure chart
- providing secretarial support for production of lengthy documents
- Typing - all typing must be accurate and well presented achieving the turnaround times agreed.
- To ensure that the Office Training and Development Records are kept up to date and filed in a timely manner, and to assist your Manager with any record-keeping.
- Office Stationery – to place orders for stationery ie. Pens, pads, Post It Notes etc, with corporate supplier
- Ensure that all messages are actioned promptly throughout the day.
- Travel arrangements & Hotel Bookings
- Organising Partners’ Meetings/Workshops/Social Events – dealing with venues, catering arrangements etc, through to completion and keeping records of attendees.

- Working to Deadlines – reprioritising your work throughout the day at regular intervals to ensure that urgent management work is actioned. If further clarification is required this should be discussed with the appropriate Manager in the Location or your Admin Team Manager.
You will need to have previously secretarial experience, an excellent telephone manner and good IT skills. It is essential that you are well presented, able to work to deadlines and work as part of a corporate team.
They are looking to hold interviews in the week commencing 5th May so please apply as soon as possible.
